Veterans Legal Link is a project run by Aberystwyth University to link veterans to free legal advice. Throughout this document Aberystwyth University is considered to be the data controller.

Collecting and Using Your Personal Data

Types of Data Collected

Personal data

While using our service, we may ask you to provide us with certain personally identifiable information that can be used to contact or identify you. Personally identifiable information may include, but is not limited to:

  • Full name

  • Email address

  • Phone number

  • Home address

  • Service number

You have a right under the GDPR to request all personally identifiable data be securely deleted from our service. We have an obligation to verify your identity in order to comply with such a request.

Usage data

Usage data is collected automatically when using the service. Usage data may include information such as your device's IP address, the pages of our service that you visit, and the time and date of your visit. This data is neccesary to provide the service, and will be cleared and/or anonymysed on a regular basis.

Cookies

A cookie is a small file placed on your device. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, you may not be able to use some parts of our service. We do not use third party tracking cookies, except when you choose to login with an external authentication provider.

Use of Your Personal Data

Veterans Legal Link may use personal data for the following purposes:

  • To provide and maintain our service, including to monitor usage, to help prevent abuse of our service.

  • To manage your account as a user of the service. The personal data you provide can give you access to different functionalities of the service that are available to you as a registered user.

  • To contact you by email, telephone calls, SMS, or other equivalent forms of electronic communication, such as a mobile application's push notifications regarding updates or informative communications related to the functionalities or contracted services, including the security updates, when necessary or reasonable for their implementation.

  • To provide you with invitations to partake in academic studies and general information about other services and events which we offer that are similar to those that you have already enquired about, unless you have opted not to receive such information.

  • To manage your requests such as a request for a copy of/deletion of all personal information as granted under the GDPR.

  • For research purposes, we may use your anonymysed information for data analysis, academic research, identifying usage trends, and determining the effectiveness of our services.

Retention of Your Personal Data

Veterans Legal Link will retain your personal data only for as long as is necessary for the purposes set out in this privacy policy. We will retain and use your personal data to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable surveilance laws), resolve disputes, and enforce our legal agreements and policies.

Veterans Legal Link will also retain usage data for internal analysis purposes. Usage data is generally retained for a shorter period of time, except when this data is used to strengthen the security or to improve the functionality of our service, or we are legally obligated to retain this data for longer time periods.

Transfer of Your Personal Data

Your information, including personal data, is primarily processed at Veterans Legal Link's operating offices at Aberystwyth University. Legal case data in particular is held by Microsoft's UK datacenters in Durham and London.

Your consent to this privacy policy followed by your submission of such information represents your agreement to that transfer.

Other transfers to our partner organizations require your express consent. We will ask for this before transferring your data to any party other than Aberystwyth University or Microsoft.

Veterans Legal Link will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy and no transfer of your personal data will take place to an organization unless there are adequate controls in place securing your personal information.

If Veterans Legal Link is involved in a merger, acquisition or asset sale, your personal data may be transferred with your consent. We will provide notice before your data becomes subject to a different privacy policy, giving you the option to instead stop using the service. If you do not consent to this data transfer, your data will be securely erased before any given merger, acquisition or asset sale.

Disclosure of Your Personal Data

Under certain circumstances, Veterans Legal Link may disclose your personal data in the good faith belief that such action is necessary to:

  • Comply with a legal obligation (e.g. a court order)

  • Protect and defend the rights or property of Veterans Legal Link

  • Prevent or investigate possible wrongdoing in connection with the service

  • Protect the personal safety of users of the service or the public

  • Protect against legal liability

Security of Your Personal Data

The security of your personal data is incredibly important to us, but no method of data storage is completely impervious to attack. While we use industry standard means to protect your personal data, we cannot guarantee its absolute security.

Children's Privacy

Our service does not address anyone under the age of 16. We do not knowingly collect personally identifiable information from anyone under the age of 16. If you are a parent or guardian and you are aware that your child has provided us with personal data, please contact us. If we become aware that we have collected personal data from anyone under the age of 16 without verification of parental consent, we will securely erase that information from our servers.

Our service may contain links to other websites that are not operated by us. If you click on a third party link, you will be directed to that third party's site. We strongly advise you to review the privacy policy of every site you use.

We have no control over and assume no responsibility for the content, privacy policies or practices of any third party sites or services.

Changes to this Privacy Policy

We may update our privacy policy from time to time. We will let you know via email and a prominent notice on our service, prior to any change becoming effective.

You are advised to review this privacy policy periodically for any changes. Changes to this privacy policy are effective when they are posted on this page.
